Managing Absences
This guide explains how to view and manage your absence records in the Students Portal.
Accessing Your Absence Records
- Log in to your Students Portal account.
- From the dashboard, click on the "Absences" option in the main menu.
- You'll be directed to the Absences page, which displays a list of all your recorded absences.
Understanding the Absences List
The Absences page displays a comprehensive list of your absence records with the following information:
- Date: The date of the absence
- Subject/Class: The class or subject you were absent from
- Duration: The length of the absence (full day or specific hours)
- Status: The current status of the absence (e.g., Unexcused, Excused, Pending)
- Reason: The recorded reason for the absence, if provided
Filtering Your Absences
To find specific absence records more easily:
- Use the filter options at the top of the absences list.
- Filter by date range, subject, or status.
- Click "Apply Filters" to update the list based on your selections.
- Click "Clear Filters" to return to the complete list view.
Viewing Absence Details
To see more detailed information about a specific absence:
- Click on any absence record in the list.
- You'll be directed to the Absence Details page, which provides comprehensive information about the selected absence.

The Absence Details page provides complete information about a specific absence:
- Basic Information: Date, time, and duration
- Class Details: Subject, teacher, and classroom
- Status Information: Current status and any notes from administrators
- Justification: Any documentation or explanation provided for the absence
- Timeline: A history of status changes and communications regarding the absence
Providing Justification for an Absence
If you need to provide justification for an unexcused absence:
- Navigate to the specific absence record.
- Click on the "Provide Justification" button.
- Complete the form with the necessary information:
- Select a reason from the dropdown menu
- Add any additional explanation in the notes field
- Upload any supporting documentation if required (e.g., medical certificate)
- Click "Submit" to send your justification for review.
Absence Notifications
The Students Portal can send you notifications about your absences:
- New Absence Recorded: When a new absence is added to your record
- Status Change: When the status of an absence changes (e.g., from Unexcused to Excused)
- Approaching Limits: When you're approaching absence limits that might affect your academic standing
To manage these notifications:
- Go to your Profile page.
- Navigate to the "Notifications" section.
- Enable or disable the types of absence notifications you wish to receive.
Absence Reports
To generate a report of your absences:
- On the Absences page, look for the "Generate Report" button.
- Select the time period for the report (e.g., Current Term, Academic Year, Custom Range).
- Choose the format for your report (PDF, Excel, etc.).
- Click "Generate" to create and download the report.
